black ipad with productivity apps

With so many things competing for your time, it can be hard to prioritize and get everything done. Fortunately, there are tons of great productivity apps for entrepreneurs to help streamline your workflow.

Whether you’re just starting out, or find yourself drowning in a sea of tasks, these tools are here to help you stay on task, manage your business efficiently, save time, and have a little fun while you do it.

The best productivity apps available for busy entrepreneurs (including a couple you probably haven’t heard of).

In this post, I’ll highlight the best productivity apps and tools to help you get more done, more efficiently.

I am a bit of a geek when it comes to trying new tools and apps, so this list represents the best and latest of what I am using currently.

Best Productivity Apps tl;dr

  • Tango – automatically create how-to guides and tutorials
  • Grammarly – AI-assisted writing and grammar check
  • Toby – bookmark and tab organization
  • WordHero – AI-powered content creation
  • Stripe Invoicing – easy, lightweight invoicing and payment processing
  • MeetFox – schedule, host, and manage paid meetings with clients
  • Heyday – your personal search engine
  • Newsletter Glue – newsletter platform for WordPress users
  • Reclaim – intelligent scheduling to prioritize what is important to you

Without further ado – and in no particular order: my 2022 recommended productivity apps for entrepreneurs.

Tango

Automatically create beautiful step-by-step guides with screenshots, in seconds.

Tango is a Chrome browser plugin that allows you to record and edit your workflow. Think about creating onboarding documents, How-Tos, tutorials, or step-by-step directions.

Just hit “Capture” and let Tango do the rest. Save yourself from all those hours taking screenshots, formatting docs, and redoing screen recordings.

Make edits, add arrows to your screenshots, and share with your team. With Tango, it’s easy to meet your docs where they already live — magically copy and paste your documentation into the tools your team uses.

Grammarly

Grammarly is an AI-powered writing assistant. It shows up in nearly every productivity app rundown because it is so good. Once installed, it will catch and fix grammatical errors, language construction, and plagiarism issues. It’s hard to think of writing any content and not checking it through Grammarly before publishing.

Whether you are writing an email, long-form content, or a social media post, Grammarly is your best friend for fixing overlooked errors so that you publish or send only what’s absolutely correct.

It corrects subject-verb placements, modifies sentences, offers alternatives to various expressions, and corrects misspelled (or incorrectly used) words.

You can choose your writing style before you put your content for checking or, if you’re using it for teams, you can enforce a writing style for consistency across all your writers.

Toby

It is not uncommon for me to have 30, 40, or even 50 browser tabs open at a time. What can I say, I have a bad habit of using my browser tabs as little reminders. Since discovering Toby, I now organize my tabs into categories and save them for later. This is way better than the built-in bookmark manager. Oh, and I can access my tabs and categories quickly, from any device.

Toby is a visual workspace that lives on every new tab. Add new tabs by dragging and dropping your browser tabs into collections or save a whole session in just one click. Access all of your collections on any desktop with automatic sync. Use tags to organize your collections or create notes for your to-dos. Toby is changing the way you save and access tabs by making it easy and fun to use.

WordHero

If you’re an entrepreneur, marketer, or writer, you know how time-consuming and expensive content writing can be.

What if there’s an AI writing assistant that does the heavy lifting for you?

Enter WordHero — an AI writing tool that helps you write high-quality blog articles, social media captions, emails, ads, sales copy, product/SEO descriptions, and more — in just a few clicks! WordHero offers an entire suite of 50+ writing tools – with new ones added constantly!

You can also use WordHero for startup, marketing, content ideas, and even poetry and song lyrics (I mean, if you needed them).

WordHero is the must-have AI writing software in your toolkit.

I use it to overcome writer’s block and draft outlines for all of my long-form content. It is like having a full-time, professional copywriter on your team.

BONUS: Writesonic

For those keeping score, up until recently, I used Writesonic for AI-assisted writing. While I still recommend them, I’ve switched to WordHero. I think the content and user interface of WordHero edges out Writesonic. Writesonic is cheaper per month, if that is a deciding factor for you.

Stripe Invoicing

When my previous invoicing service rescinded their lifetime membership, I went on the hunt for a new invoicing and payment processing service. Again (as you’ll see below), I considered building my own lightweight invoicing system.

Since I was already using – and extremely happy with – Stripe, I researched their products and discovered they had recently launched Stripe Invoicing. It was exactly* what I was looking for! Something lightweight, easy to use, fast, and adaptable.

If you are a SaaS founder, coach, consultant, or expert – or if you sell memberships, subscriptions, or your time – consider checking out Stripe Invoicing to process invoices and get paid.

*I do with they had more flexibility in customized items on the invoices – but this isn’t a showstopper.

MeetFox

If you are a coach, consultant, or online teacher, a good portion of your week is probably spent coordinating meetings, juggling admin tasks, and chasing down invoices.

But if you’d rather spend more time on your clients and less time on so many tedious things, I have a solution.

Say hello to MeetFox, your new meeting manager.

MeetFox combines all the tools you need to run your meetings in one place with simple scheduling, video conferencing, and invoice management.

Whether you’re a solopreneur or an elite squad of sales musketeers, you’ll find that MeetFox is invaluable when it comes to managing your schedule, saving you so much time and effort.

You can create professional booking pages that double as landing pages and send customizable email and SMS notifications that remind you and your clients to show up for your next big meeting.

The best part: you can brand every aspect of MeetFox to suit your business. Add your logo, colors, style, and custom domain to get a full white-label experience.

Supercharge your meetings today with MeetFox!

Heyday

Heyday is the product I’ve been searching for most of my professional career. In fact, I even dabbled with creating something similar to collect all of my random thoughts, links, resources, notes, highlighted quotes around the web, and research.

Not only are the founders, Samiur and Sam totally awesome and approachable, but they have built a totally awesome and approachable product.

Heyday works in the background of your email and internet browsing to passively collect and organize the content you view. Think of it as your own personal Google search engine for anything you’ve looked at, read, or thought “I should make a note of this.”

On top of all of this, they send you a daily reminder email to resurface articles and posts you visited as a gentle way of reminding you of your previous research.

If you are anything like me and have dozens of tabs open for various topics, Heyday can help.

Newsletter Glue

Newsletter Glue is a newsletter plugin for WordPress. If you have contemplated launching (or already have) an email newsletter and use WordPress, I cannot recommend Newsletter Glue enough. It replicates what Substack and the like have done to bring your work in-house, under the umbrella of your own website. You know I am a huge fan of building your own platform and not relying on others.

I have been using it for about a year (since I moved away from Substack). I thought it was pretty slick, but then I connected with the founder, Lesley Sim, and realized I had not been using it to the fullest potential.

For WordPress content creators, Newsletter Glue will simplify your newsletter publishing so you can focus on writing and building your audience.

Reclaim.ai

The Reclaim.ai suite of tools (includes Habits, Smart 1:1 Meetings, scheduling buffers, and calendar sync) intelligently makes room on your calendar to help you focus on the things that keep you up at night.

Once you tell it your top priorities – which may include personal habits like exercise, reading, or time outdoors; work-related tasks like email, team meetings, mentorships, or development – Reclaim builds an optimized schedule for you. Not only does this keep your priorities on your calendar, but it also makes scheduling 1:1 meetings a breeze. No more double-bookings, clients encroaching on your personal time, or giving up dedicated time to focus on what matters most to you.

Reclaim is like having a personal assistant managing your schedule exactly how you’d want it managed.

BONUS

Video Speed Controller

Have you ever wished you could speed up a video you’re watching online? Most likely. Why? Because most adults process speech faster than a presenter speaks – especially when it comes to online videos, presentations, or tutorials. With Video Speed Controller, a Chrome plugin, you can speed up, slow down, rewind, or advance nearly any video. Even if the player hides the controls or limits the functionality, otherwise. This is a huge time saver for me!
